Quick Guide on Mail Preparation

In response to recent requests for a reminder on proper mailing procedures, we are pleased to provide the current revisions in order to improve service and ensure accurate delivery. Please feel free to print procedures and post near your department's mail center.

Separate mail into three trays/tubs

  • CAMPUS MAIL
  • OUT GOING MAIL/DOMESTIC & INTERNATIONAL (All International Mail should be bound by rubber bands.)
  • STAMPED MAIL

  CAMPUS MAIL

    • MUST include the recipients full name and complete department name
    • DO NOT use abreviations or building names (Mail Services sorts by department)
    • Writing must be legible

  OUT GOING MAIL

    DOMESTIC MAIL (mailed within the United States)

    • Senders account number must be included on all mail pieces
    • Include a return address
    • Departments can seal the envelopes, or flaps can remain unsealed and Mail Services will seal by using the postage meter machine. MANUAL LABOR CHARGES MAY APPLY DUE TO VOLUME AND THICKNESS.
    • Rubber band mail pieces by account number

  INTERNATIONAL MAIL

    • Senders account number must be included on all mail pieces
    • Include a return address (a telephone number is recommended but not required)
    • Stamp or write "AIR MAIL" on all mail pieces
    • If a mail piece weighs more than one pound, a Customs Form is required by the United States Postal Service (see Classes of Mail International Mail )
    • Rubber band mail pieces by account number

  STAMPED MAIL

  Please provide a return address in the event additional postage is required.
